Privacy Policy

1. Information We Collect
We collect:
- Account Information: Name, email, business details you provide
- Usage Data: Scan history, app interactions, device information
- Purchase Data: Transaction history, receipt validation
- Device Data: IP address, device ID, operating system
- Lead Data: Contact details from the badges, QR codes, business cards and contact pages you scan, plus the notes, ratings and answers you add
- Voice Notes (optional): notes you dictate and conversations you record after the visitor agrees. Audio files stay on your phone. Your phone's speech recognition turns them into text, on the device when it can; otherwise your phone's maker (Apple or Google) processes the audio. The text is saved with the lead.
- Crash and Error Reports: technical details when the App fails, with personal details removed before they are sent
2. How We Use Your Information
- Provide and improve the App's functionality
- Process transactions and deliver purchased services
- Read the codes, cards and contact pages you scan and fill in lead details
- Send important updates and security alerts
- Analyze usage patterns and improve user experience
- Prevent fraud and ensure security
- Comply with legal obligations
3. Information Sharing
We DO NOT sell your personal information. We may share data with:
- Event organizers: only totals, such as how many leads exhibitors captured at their show. Organizers never receive your leads or any contact details.
- Your team: if you join a team in the App, the leads you choose to share are visible to your teammates
- Tools you connect: when you connect Slack, Microsoft Teams, Google Sheets, a webhook or a CRM, we send your leads there, as you set up
- Service providers that run the App for us: Google Firebase and Google Cloud (accounts, storage, sync), Apple and Google Play (payments), RevenueCat (purchase and subscription records, linked to your account ID), Sentry (crash and error reports, with personal details removed)
- AI processing provider (Anthropic): when the App can't read a scanned code or contact page on its own, or when you ask for an AI follow-up draft or conversation summary (Scannly Pro), the needed text is sent to our AI provider. It is used only to return the result to you and is not used to train AI models.
- Law enforcement (when legally required)
- Business successors (in case of merger/acquisition)
4. Data Security
- Industry-standard encryption (TLS/SSL)
- Secure cloud storage with Firebase
- Regular security audits and updates
- However, no system is 100% secure - use at your own risk
5. Your Privacy Rights
- Access: Request a copy of your data
- Correction: Update inaccurate information
- Deletion: Delete your account and all your data at any time (see "Deleting your account" below)
- Opt-out: Unsubscribe from marketing emails
- California residents have additional CCPA rights
- EU residents have GDPR rights (if applicable)
Deleting your account
In the App, open Settings, then Privacy & Security, then Delete account. This removes your account, your leads, notes and voice notes from our servers right away. Voice note audio is also removed from your phone. You can also email info@scannly.app from the address on your account and we will delete it within 30 days. Purchase records that the law requires us to keep (for taxes) are kept without your leads.
6. Data Retention
We retain your data as long as your account is active or as needed to provide services. After deletion, we may retain some data for legal compliance, fraud prevention, or legitimate business purposes for up to 7 years.
7. Children's Privacy
The App is not intended for users under 18. We do not knowingly collect data from children. If we discover we have collected data from a child, we will delete it immediately.
8. International Users
Your data may be transferred to and processed in the United States. By using the App, you consent to such transfers.
9. Cookies and Tracking
We use cookies and similar technologies for analytics and app functionality. You can disable cookies in your device settings, but this may limit functionality.
10. Third-Party Links
The App may contain links to third-party websites. We are not responsible for their privacy practices. Review their policies separately.
11. Changes to Privacy Policy
We may update this policy and will notify you of material changes via email or in-app notification.
